We believe CA firms deserve complete honesty about what CA OMS does, how it's delivered, what's included, and what isn't. No fine print hidden in legal jargon.

Delivery & Setup Timelines

Cloud app, custom software, and onboarding timelines
Cloud app (standard subscription): Your CA OMS account is ready within 48 working hours of subscription confirmation and payment. Most accounts go live within 24 hours.
Custom/self-hosted software: Firms that purchase the self-hosted or custom deployment option should expect a delivery timeline of 7–21 working days depending on scope, server readiness, and customisation requirements. This timeline begins after all requirements are confirmed in writing and the setup fee is received.

The 48-hour delivery commitment applies specifically to the standard cloud-hosted subscription (Solo, Growth, and Professional plans). It does not apply to:

  • Self-hosted / on-premise deployments
  • Firms requiring custom module development
  • Accounts requiring data migration from existing systems
  • Multi-branch or enterprise configurations
Setup fee: A one-time setup fee of ₹3,499 (+ 18% GST) applies to all subscription plans. This covers account configuration, initial workflow setup, and onboarding support. The setup fee is non-refundable once the account has been provisioned.

If your account is not live within the stated timeline for reasons within our control, we will extend your subscription by the number of days delayed at no charge.

AI Features — Availability & Limitations

What's included, what's an add-on, and what AI can and cannot do
AI features are add-ons, not standard inclusions. The core CA OMS subscription (Solo, Growth, Professional) includes workflow automation, task management, GST invoicing, HR, reporting, and the client portal. AI-powered features — such as OCR document extraction, smart reconciliation, WhatsApp message writer, GST notice interpreter, and automated bookkeeping — are separate paid add-ons or available on higher tiers.

The AI features described on our website and AI page represent the full roadmap of what CA OMS is building. Please check the current plan comparison page or contact our sales team to confirm which AI features are live and available today versus which are in development.

AI accuracy disclaimer: AI-powered features — including OCR extraction, document reading, reconciliation, and compliance suggestions — are designed to significantly reduce manual work. However, they are not 100% accurate and should not replace professional judgment. All AI outputs must be reviewed and verified by a qualified CA before acting on them, especially for filing, compliance, or financial decisions.

Time-saving estimates shown on our website (e.g., "saves 8 hours per month") are indicative averages based on user feedback and internal testing. Actual savings depend on firm size, data quality, volume of transactions, and how the features are used.

  • AI features require clean, structured input data for best results
  • OCR accuracy depends on document quality — blurry or handwritten documents may have lower accuracy
  • AI suggestions are assistive — final decisions rest with the CA professional
  • AI features consume processing credits where applicable — see the pricing add-on table

Custom Development & Bespoke Features

Scope, timelines, and what to expect from custom work

CA OMS offers custom development services for firms requiring features, integrations, or modules not available in the standard product. Custom development is subject to the following terms:

No custom work begins without a signed scope document. All custom development requires a written scope of work agreed upon by both parties before any work or payment is processed. Verbal agreements are not binding on either party.
  • Custom development timelines are estimates based on scope and are provided in the written agreement
  • Changes to scope after work has begun may result in revised timelines and additional charges
  • Custom features built for one firm remain the intellectual property of CA OMS unless otherwise agreed in writing
  • Custom development fees are charged separately from the subscription and are non-refundable once development has commenced
  • CA OMS reserves the right to decline custom development requests that conflict with product direction, legal requirements, or technical feasibility
Custom development timeline guide: Simple configuration changes (1–3 days) · Custom reports and stored procedures (3–7 days) · New modules or integrations (2–6 weeks) · Full self-hosted deployment with customisation (2–4 weeks). Timelines begin from the date of signed scope and cleared payment.

Subscription & Billing

How billing works, renewals, and what happens when you add users

CA OMS subscriptions are billed in advance — quarterly, half-yearly, or annually — based on the plan selected at the time of purchase.

  • Base plans include 2 users (1 Admin + 1 Employee). Additional users are billed at the per-user rate of the plan selected
  • All prices shown on the website are exclusive of 18% GST unless otherwise stated
  • The setup fee (₹3,499 + GST) is a one-time charge and is not included in the monthly per-user rate
  • Subscriptions do not auto-renew by default — you will receive renewal reminders 30, 15, and 7 days before expiry
  • If a subscription lapses, access to the account is suspended but data is retained for 30 days to allow renewal
  • Downgrading from a higher plan to a lower plan takes effect at the next renewal date, not immediately
  • Upgrading plans takes effect immediately and the difference is prorated for the remaining billing period
Add-on services (setup, data migration, WhatsApp setup, custom reports) are charged separately from the subscription and billed at the time of service booking. These are not included in the subscription price.

Data Ownership, Storage & Security

Who owns your data, where it's stored, and how it's protected
Your data belongs to you — always. CA OMS does not claim ownership of any client data, firm data, or documents uploaded to the platform. You can export your data at any time.
  • Data is stored on secure cloud servers located in India
  • Access is protected by JWT-secured authentication and encrypted local user sessions
  • Role-based access control ensures staff can only access what they are permitted to
  • All user actions are logged with timestamps for audit and governance purposes
  • CA OMS does not sell, share, or use your client data for any commercial purpose
  • Data is not shared with third parties except as required to deliver the service (e.g., email providers, WhatsApp API)
Client portal token security: Client portal session tokens are invalidated on logout. However, the current implementation uses in-memory token blacklisting, which resets on server restart. We recommend clients log out after each session as an additional security measure. An update to persistent token blacklisting is on our roadmap.

If your subscription expires or you close your account, your data is retained for 30 days in a read-only state during which you can request a full export. After 30 days, data is permanently deleted from our servers.

Compliance Accuracy & Professional Responsibility

What CA OMS is responsible for — and what remains with the CA professional
CA OMS is a practice management tool — not a licensed tax advisor or chartered accountant. All compliance decisions, filings, calculations, and professional opinions remain the sole responsibility of the CA professional using the platform.

CA OMS helps CA firms organise, automate, and track their work. However:

  • Statutory deadlines shown in the platform are for reference only. Always verify against official government notifications
  • GST, TDS, and income tax calculation features are designed to assist — they must be verified before filing
  • AI-generated compliance suggestions, notice interpretations, and query responses are assistive in nature and do not constitute legal or professional advice
  • CA OMS is not liable for penalties, interest, or losses arising from incorrect filings, missed deadlines, or reliance on platform-generated outputs without professional verification
  • Regulatory changes (GST rate changes, deadline extensions, new notifications) are reflected in the platform on a best-effort basis and may not be immediate
When the government extends or modifies statutory deadlines, CA OMS updates the platform as quickly as possible. However, we recommend CA professionals independently monitor official channels (GSTN, IT portal, MCA, CBDT, CBIC) for time-sensitive compliance decisions.

Uptime, Maintenance & Support

What we commit to for availability and how we handle issues
CA OMS targets 99% uptime for the cloud-hosted platform on working days. Scheduled maintenance is conducted during low-traffic hours (typically Sunday 11 PM – 2 AM IST) with advance notice.
  • Support is available Monday to Saturday, 10 AM – 7 PM IST via WhatsApp (+91 888 136 1111) and email
  • Billing and technical support are included in all subscription plans
  • Priority support with faster response times is available on the Professional plan
  • Critical bugs affecting core functionality are resolved within 24–48 working hours
  • Feature requests are logged and prioritised based on overall user demand — no commitment on individual request timelines
CA OMS is not liable for losses arising from system downtime, technical issues, or data unavailability during maintenance windows. We recommend that CA firms do not attempt critical filings in the final hours before a statutory deadline to allow buffer time for any technical issues.

Third-Party Integrations & Services

PayU, WhatsApp API, email providers, and external services

CA OMS integrates with several third-party services to deliver its features. These include payment processing (PayU), WhatsApp Business API, email delivery services, and AI processing APIs.

  • CA OMS is not responsible for downtime, errors, or service disruptions caused by third-party providers
  • Payment processing is handled by PayU — CA OMS does not store credit card or payment details
  • WhatsApp messaging is subject to WhatsApp Business API policies and Meta's terms of service. CA OMS cannot guarantee delivery of WhatsApp messages if the recipient has blocked business messages or if the API is unavailable
  • Email delivery is subject to spam filtering and deliverability factors outside CA OMS's control
  • AI processing uses third-party AI APIs (including Anthropic's Claude). Queries sent to the AI assistant may be processed on third-party infrastructure subject to their privacy policies
Data shared with third-party APIs (such as document text for OCR or AI processing) is governed by the respective provider's data processing agreements. CA OMS ensures only the minimum necessary data is shared and does not send personally identifiable information to AI APIs where avoidable.

WhatsApp Communication Credits

How credits work, what they cover, and what's not included

WhatsApp communication features in CA OMS operate on a credit-based system. Credits are purchased separately from the subscription and consumed per message sent.

  • WhatsApp credits are not included in the standard subscription price and must be purchased separately
  • Credits are non-refundable once purchased
  • Undelivered messages (due to recipient blocking, network issues, or API unavailability) may still consume credits depending on delivery attempt status
  • WhatsApp template messages require pre-approval from Meta before they can be sent — CA OMS assists with template submission but cannot guarantee approval timelines
  • Bulk WhatsApp campaigns are subject to Meta's daily messaging limits based on business verification level
  • Credits do not expire as long as the subscription is active. If the subscription lapses, unused credits are frozen and restored upon renewal
WhatsApp Business API availability and pricing is controlled by Meta (WhatsApp's parent company). Changes to Meta's pricing or policies may affect credit consumption rates. CA OMS will communicate any such changes with 30 days' notice where possible.

Free Trial Terms

What the 7-day trial includes and what happens after it ends
The 7-day free trial gives full access to CA OMS core features with no credit card required. No charges are applied during the trial period.
  • The trial period is 7 calendar days from the date of account creation
  • Trial accounts have access to core features — task management, client management, invoicing, HR, and reports
  • AI add-on features, WhatsApp credits, and client portal features may be limited during the trial
  • Data entered during the trial is fully preserved if you subscribe before or immediately after the trial ends
  • Trial accounts that are not converted to paid subscriptions are automatically suspended after 7 days and data is deleted after a further 30 days
  • Only one free trial is permitted per firm/GST number. Attempts to create multiple trial accounts for the same firm may result in all accounts being suspended
The setup fee (₹3,499 + GST) is not charged during the trial. It applies only when converting to a paid subscription. If you choose not to subscribe after the trial, there is no charge of any kind.

Paid Customization & Setup Services

What setup services include and what counts as custom development

CA OMS offers paid setup and customisation services at fixed prices. These are service engagements, not software features, and are subject to the following terms:

  • Quick Setup (₹4,999): Covers a 2-hour guided configuration session, setting up roles, task categories, expense heads, and WhatsApp templates. Does not include data migration or custom development
  • Data Migration (₹9,999): Covers import of client master data, employee records, and historical tasks from Excel or CSV files. Does not guarantee import of data in unsupported formats or from third-party software without an available export
  • Compliance Calendar Build (₹8,999): Covers mapping recurring compliance tasks for up to 50 clients. Additional clients may be charged at a per-client rate
  • Custom Report (₹14,999+): Covers one bespoke report built as a named stored procedure. Changes to an approved report after delivery are charged separately
All paid service fees are non-refundable once work has commenced. If you wish to cancel before work begins, please notify us within 24 hours of payment for a full refund.

Service delivery timelines are provided at the time of booking and are estimates. Delays caused by the client (e.g., not providing required data or access) do not entitle the client to a refund or timeline extension claim against CA OMS.

Pricing Changes & Plan Modifications

How and when pricing may change, and how you'll be notified
Existing subscribers are protected from price increases until their current billing period ends. New pricing applies only at the next renewal.
  • CA OMS reserves the right to change subscription prices, plan features, and add-on pricing at any time
  • Price changes are communicated to existing subscribers via email and WhatsApp at least 30 days before they take effect
  • If a plan's features change materially (features removed, not just added), subscribers have the right to cancel and receive a prorated refund for the unused portion of their subscription
  • GST rate changes mandated by the Government of India are applied immediately and are not subject to the 30-day notice period
  • Promotional or launch pricing is time-limited. The standard prices listed on the website apply after the promotional period ends

Refund Policy

When refunds apply and how to request one

CA OMS operates a limited refund policy. We do not offer refunds simply for change of mind or non-use. Refunds are considered in the following circumstances:

Eligible for refund: Duplicate payment, technical failure preventing account provisioning for more than 5 working days, material misrepresentation of a feature that was confirmed in writing before purchase.
Not eligible for refund: Change of mind after account provisioning, non-use of the subscription, dissatisfaction with a feature that was accurately described, custom development work that has commenced, add-on service fees where service has been delivered, or the one-time setup fee once the account is provisioned.
  • Refund requests must be submitted within 7 days of the triggering event via WhatsApp or email
  • Approved refunds are processed within 7–10 working days to the original payment method
  • Refunds are not available on GST amounts — these are remitted to the government

No Professional or Legal Advice

The boundary between software assistance and professional services
CA OMS is software. It is not a chartered accountant, tax advisor, legal counsel, or registered auditor. Nothing in the platform, AI features, website, or communications from CA OMS constitutes professional accounting, legal, or financial advice.

Specifically:

  • AI query responses are informational and research-assistive only — they are not professional opinions
  • GST notice interpretations generated by AI should be reviewed by a qualified CA before any action is taken
  • Compliance checklists, deadline alerts, and workflow suggestions are tools to assist CA professionals, not replace their judgment
  • CA OMS is not liable for any penalty, interest, demand, or legal consequence arising from reliance on platform outputs without professional verification

The CA professional using CA OMS remains fully responsible for all work product, filings, and advice provided to their clients.

Global & International Use

Jurisdiction, applicability, and use outside India

CA OMS is designed and built primarily for Indian CA firms operating under Indian statutory requirements (GST, Income Tax Act, Companies Act, etc.).

  • Users outside India may use CA OMS for practice management, task tracking, and client management features
  • Statutory compliance features (GST invoicing, TDS tracking, ROC deadlines) are India-specific and may not be relevant or accurate for other jurisdictions
  • CA OMS does not represent that its compliance features are applicable to tax laws, regulations, or filing requirements of any country other than India
  • International customers using CA OMS for general practice management do so at their own discretion
  • All disputes are subject to the jurisdiction of courts in Lucknow, Uttar Pradesh, India
  • These terms are governed by the laws of India
